Responsibilities:
- Coordinate office activities and
operations to secure efficiency and compliance to company policies - Prepare reports, presentations, meetings
and correspondence - Schedule/manage meetings/agendas/travel
arrangements/appointments etc. for the upper management - Manage phone calls and correspondence
(e-mail, letters, packages) etc. - Support budgeting and bookkeeping
procedures - Support office staff in creating,
maintaining and updating files, records and databases with personnel,
financial and other data - Keenly track stocks of office supplies and
place orders when necessary - Prepare and submit timely reports and
prepare presentations/proposals as assigned - Serve as the go-to for office inquiries
and conflicts - Regularly monitor office operations,
assign jobs, duties, responsibilities and supervise administrative staff
and to ensure performance - Support colleagues whenever necessary
Experience:
- The applicant for the Office Administrator
vacancy must hold a Diploma. Possession of a Bachelor’s Degree or higher
is an added advantage - At least two years of related
administration experience - Excellent oral and written communication
skills - Detail oriented and works with a high
degree of accuracy - Highly organized and flexible individual
- Ability to multitask and meet changing
deadlines - Must be self directed and able to complete
projects with limited supervision - Maintains staff confidentiality
- Working knowledge of email, scheduling and
spreadsheets
