is a small social enterprise located in Jinja Uganda, whose vision is to
establish and execute various social enterprise bicycle projects whereby
entrepreneurs, students and health workers are empowered and equipped with
bicycles through a self-sustainable business model.
Job Summary: The Finance and Administration Coordinator will
take the overall responsibility of financial management for CooP-Uganda
including financial planning, assurance and risk management, reporting and
investment management, as well as human resources and administration
management.
Key Duties and Responsibilities: 
1. Financial:
  • Ensure appropriate finance policies, systems
    and procedures are maintained/ implemented.
  • The jobholder will also ensure that all
    transactions are properly accounted for.
  • Manage receipts/income, petty cash and bank
    accounts.
  • Keenly monitor cash flow, and ensure that
    sufficient funds are always available in the bank.
  • Manage all payments and ensure they are in
    line with CooP-Uganda approved activities.
  • The incumbent will prepare and submit
    periodic and annual financial accounting reports to key users.
  • Prepare monthly management reports at the end
    of each month.
  • Render support in the preparation of budgets
    and accounts to donors, as requested.
  • Work closely with Auditors and assist with
    all audits undertaken at CooP-Uganda.
  • Ensure continuous improvements in the finance
    systems and controls.
  • Ensure CooP-Uganda complies with all
    statutory requirements (registration, tax, returns etc.)
  • Ensure that all procurements are sound and as
    per CooP-Uganda procedures.
  • Ensure that regular financial risk management
    is done and recommend corrective actions.
  • Ensure security of all accounting records.
2. Administrative:
  • Manage the purchases, distribution, use and repairs
    of all assets and equipments.
  • Manage stock and asset control.
  • Ensure that the health, safety and security
    procedures are adequate and implemented.
  • Ensure property maintenance and improvements
    are undertaken.
  • Manage the day to day running of the office.
  • Work closely with other agencies/government,
    especially on regulatory and statutory issues.
  • Oversee all administrative filing and
    records, and archiving.
  • Ensure that all key commitments with third
    parties are covered by written legal agreement.
  • Offer technical support to the office in all
    other administrative matters.
  • Oversee proper use and maintenance of
    CooP-Uganda bicycles and motor vehicles.
3. Human Resource:
  • Ensure all staff have valid contracts and job
    descriptions, and that they understand them.
  • Implement performance review and performance
    management for supervised staff.
  • Maintain the leave register.
  • Manage the recruitment processes for all new
    staff.
  • Keenly review staff training needs, and
    organise for them to be met.
  • Maintain HR records, including staff lists,
    staff files and the leave register.
  • Ensure compliance with local labour law
    regulations on all staff matters.
  • Provide support to the office in all other HR
    matters.
4. Other:
  • Prepare and submit regular written reports
    for the Manager as per laid down timelines.
  • Monitor security situation and report to
    senior management as necessary.
  • Ensure staff compliance with security
    guidelines.
  • Work closely with partners and CooP-Africa as
    necessary.
  • Perform any other duties that may be
    requested by the Manager from time to time.
Qualifications, Skills and Experience: 
  • The ideal candidate for the Finance and
    Administration Coordinator job opportunity should preferably hold a University
    graduate in finance and administration or its equivalent.
  • At least four years’ experience in
    management, planning and financial oversight.
  • At least four years’ experience in personnel
    management, including hiring, supervision, evaluation and benefits
    administration.
  • Proven ability to work in a proactively diverse
    and inclusive organization.
  • Excellent, proven interpersonal, verbal and
    written communications skills.
  • Demonstrated ability to manage and supervise
    a staff team.
  • Proficiency with office computer equipment
    and software.
  • Demonstrated ability to multi – task and work
    in a fast – paced office setting.
  • Demonstrated ability to cope with conflict
    and stress situations.
