The
International Justice Mission is a global organization that protects the poor
from violence throughout the developing world. International Justice Mission
partners with local authorities to rescue victims of violence, bring criminals
to justice, restore survivors, and strengthen justice systems.  The International Justice Mission (IJM)
Uganda is working to eliminate property grabbing in Uganda by bringing rescue
and restoration to individual victims, accountability to their perpetrators,
and transformation to the public justice system as a whole.
Job Summary: The Office Administrator will take charge of the
provision of  administrative support
functions for IJM’s Kampala office, including procurement, transportation, and
general office administration.
Key Duties and Responsibilities: 
1. Administration:
  • Coordinate and oversee all office
    administrative activity, maintaining accurate records, and providing
    advice for other teams;
  • Manage the maintenance, cleanliness, and
    repairs of office premises and assets;
  • Ensure timely and accurate payment of all
    office rent, utility and phone bills, including regular liaison with
    service providers to improve service delivery;
  • Maintain accurate and up-to-date records for
    all administrative activity, enabling tracking, and cross-checking of
    requests;
  • Keenly track, monitor and record employee
    leave, attendance and working hours;
  • Coordinate hospitality and welcome for all
    visitors, including receiving phone calls, flight bookings, airport
    transfers, lodging and provision of welcome gifts where applicable;
  • Support the IJM Administration team in
    designing processes and systems that allow for service delivery for other
    departments to run smoothly; and
2. Procurement:
  • Manage the procurement of goods and services
    to support non-Aftercare related office functions;
  • Manage relationships and contracts with major
    vendors, utilities and service providers; and
  • Oversee the maintenance of adequate stores of
    office supplies, equipment and small tools.
3. Management:
  • Direct management of Lead Driver/Special
    Assistant and Operations Assistant including performance reviews, ongoing
    direction, support, encouragement and correction; and
  • Oversee and delegate activities to the
    Regional IS Specialist (as it pertains to IS activities in Uganda) and
    contract personnel, including security guards and housekeeper.
4. Development:
  • Actively participate in IJM programs in
    professionalism and Christian spiritual formation.
  • Perform any other duties as designated by
    supervisor or other designated personnel.
Qualifications, Skills and Experience: 
  • The ideal candidate should preferably hold a Bachelor’s
    degree in Office Management, Business Administration, Human Resources or
    other relevant field;
  • At least four or more years of experience as
    an office administrator or equivalent position;
  • Two or more years management experience;
  • Two or more years of experience in service
    coordination, or similar duties;
  • Fluency in English and Luganda, with
    excellent writing and oration in both;
  • Computer literate with proficiency in MS
    Word, Outlook and Excel; and
  • Possession of a clean and valid driver’s
    license is preferred.
  • Mature;

    and oral communication;
  • Works well under stress with a sustained
    positive attitude;
  • Christian faith as defined by the Apostles’
    Creed;
  • Passionate Exceptionally high level of
