Infectious Diseases Institute (IDI) is an international non-profit organization
which is a partnership of infectious diseases and public health specialists.
The overall objective of the IDI is to strengthen health systems with strong
emphasis on Infectious Diseases, through Research and Capacity Development. IDI
has five operational areas through which it works to achieve its mission:
Prevention, Care and Treatment; Training, Research and Laboratory services
(provided through a partnership with the Makerere University – John Hopkins
University Core Lab) and Outreach.
Diseases Institute (IDI) received funding from Centers for Disease Control and
Prevention (CDC)/PEPFAR to implement a comprehensive HIV/AIDS services in the
mid-western Uganda Districts of Kiboga, Kibaale, Kyankwanzi, Hoima, Masindi,
Buliisa and Kiryandongo. The project is called “Accelerating Comprehensive
HIV/AIDS Service Delivery through Health System Capacity Building and Technical
Assistance of District Health Teams and Health Facilities in Western and West
Nile Regions in the Republic of Uganda under PEPFAR.”
provide finance, administrative and secretarial support to the project field
office, staff, and to project consultants as appropriate.
incumbent will participate in drawing of periodic work plans/budgets-in
relation to the set targets, account for all the project field funds and ensure
proper utilization of project assets and equipment. The jobholder will also develop
a database of contact information; maintain distribution lists for various
kinds of project communication and schedule all project meetings; attend and
take minutes as appropriate.
- Actively participate in drawing of periodic
work plans/budgets-in relation to the set targets - Account for all the project field funds and
ensure proper utilization of project assets and equipment - Develop monthly schedules to allocate use of
vehicles Supervise the drivers - Offer support in the management of project
resources such as human resources, finances, vehicles among others - Prepare and submit financial reports on a
monthly, quarterly and annual basis - Assist with all aspects of administrative
management, directory maintenance, logistics, equipment inventory and
storage - In charge of managing inventory of assets and
supplies, monitoring critical level of stocks, sourcing for suppliers and submitting
invoice - Coordinating between departments and
operating units in resolving day-to-day administrative and operational
problems - In charge of preparing meeting minutes,
meeting notes and internal support materials. - Assigns jobs and duties to office assistant
as required. - Schedules appointments and meetings with the district
and other stakeholders - Manages staff Leave schedules
- Assists in the preparation of activity
budgets and expenses - Perform any other duties as reasonably
assigned by the Project Administrator.

Institute (IDI) Finance and Administrative Assistant career opportunity should
preferably hold a Bachelor’s degree in a finance related field - At least two years relevant work experience
- Basic accounting and book keeping skills
- Good secretarial skills, including advanced
abilities in word-processing, spreadsheets, filing, and general computer
use; knowledge of MS Excel, Word and other common software programs is
essential - Excellent communication and interpersonal
skills; strong writing skills are essential - Demonstrated ability to perform typing/word
processing duties; knowledge of written communication formats and
composition of such communications is crucial - Working knowledge of general office practices
and procedures particularly in filing, gathering and compiling information - The applicant should have the ability to
consistently do multiple requests in a timely fashion; ability to be
creative in finding solutions to challenges - Proven ability to work independently and with
minimal supervision - Fluency of the local languages within the
supported districts is desirable.
