Leader, Records & Statistics will support the department manager in
implementing agreed action points, strategies and department objectives as will
be agreed to ensure efficient running of the department and use of resources
(financial or otherwise).
The incumbent will manage the day-to-day operational
running of the department.
Take overall responsibility for specific work groups
in the department as agreed with department manager
The incumbent will be in charge of routine
activities including stock taking, ordering and receiving ensuring that this is
documented according to agreed standards
Chair and organize departmental meetings
Filing: organize and
file all inpatient records in alphabetical order in the records cabinets. The
job holder will ensure that: Files are promptly collected from the finance
office after the patient is discharged. Blank sheets or forms are not left in
files after discharge. All unused forms/sheets should be put back in storage
for future use. Prompt orders for cabinets, suspension files and labels are
made to the purchasing office. Records are accurately and safely stored.
Retrieval, monitoring of retrieved files and Archiving of files when necessary.
The incumbent will support the outpatients’ card filing whenever needed.
Statistics
Reports: Prepare and submit weekly reports to team leaders and senior managers
on Outpatient attendances categorizing patients visits; i.e. Specialist or
general clinics Prepaid, invoicing, cash or charity, staff and Staff
dependents.
Experience:
The applicant should hold a Bachelor’s Degree in
Statistics, Quantitative Economics, Business Statistics, Bsc (Stat), Population
Studies or Actuarial Science, Economics and Statistics.
A certificate in records keeping and archiving
A year’s experience in an administrative role
Ability to multitask
Keen attention to detail
Ability to work under pressure
Ability to work within a team
Computer literacy i.e. proficient in Ms Excel
Excellent interpersonal and communication (verbal
& written) skills
Good and demonstrable leadership skills
Ability to communicate effectively with the team and
to apply broader objectives at team level
Excellent organizational skills
Knowledge and ability to use Navision
