Assistant to the CEO

mandate is to promote and popularise Uganda as a viable holiday destination
both locally and internationally in order to:
Increase
the contribution of tourism earnings and GDP
Improve
Uganda’s competitiveness as an international tourism destination
Increase
Uganda’s share of Africa’s and World tourism market.
high level administrative and secretarial support to the CEO, Heads of
department, visitors and the UTB board.
In charge
of planning and coordinating meetings for the CEO, Heads of Departments and
other visitors.
Offers
timely administrative and secretarial assistance to the CEO, heads of
departments and visitors.
Drafts
e-mail and paper correspondences on own initiative/as directed on routine
matters and ensures distribution CEO, heads of departments and others as
appropriate.
Makes
local, national, regional and international travel arrangements for the CEO,
heads of departments and visitors.
The Executive
Assistant organizes regular senior management team (SMT) meetings, coordinates
UTB board meetings plus arranging for their logistics.
Plans,
coordinates and manages institutional events like scientific workshops and programs presentations, ensuring quality
services where outsourced.
Maintains
a database of both local and international contact information, and /or
distribution lists for various kinds of organization communication.
Carries
out any other official duties as assigned by CEO from time to time.
The ideal
candidate for the Executive Assistant Administrative opportunity should hold a Bachelor’s degree in an administrative or secretarial studies. Possession of a Post graduate qualification in Tourism is an
added advantage.
A
minimum of five years’ progressive senior relevant experience in similar
assignment (ideally including
secretarial and administrative work) in a reputable organization.
Working
knowledge of written communication formats and composition and excellent
command of spoken and written English.
The Executive
Assistant must have knowledge and understanding of general office procedures;
standard office equipment
Computer
literacy skills i.e. proficient in Excel, Word and other common programs
Ability
to maintain strict confidentiality of information
Ability
to prioritize multiple tasks and coordinate a workload.
Ability
to communicate with board members, staff and other contacts in a courteous and
professional manner.
