Job Summary: The Officer Business Planning will be part of the
Operations team and will have the responsibility of coordinating and carrying
out comprehensive administrative support to Head of Ops and Operations senior
management team in accordance with laid down policies and procedures. The
incumbent will also offer technical support in improving the efficiency and
effectiveness of the country’s operations network and identification of
proactive opportunities for improvement.
Key Duties and Responsibilities: 
1. Operational Performance:
  • In charge of analysing, incoming
    documentation (as laid out in line with Operations plans and KPIs) and
    highlighting key matters/issues/requirements to the Operations management
    team.
  • Responsible for coordinating and
    consolidating Operations submissions for the various meetings and reports.
  • Drafting of presentations and other
    documentation as required by the Operations Management team.
  • Actively participate in and coordinate
    Operations Management committee forums. This includes the administrative
    functions of minute taking, drafting of minutes and the agenda as well as
    noting and tracking of action items.
  • Take part in business forums, that require
    Operations representation, as mandated/required by the Head of Operations
  • To generate a good understanding of the
    Operations business and communicate effectively at senior management
    levels of engagement
  • Sending out communication to relevant
    stakeholders on important information relating to Operations
  • Budgeting and planning of the operations
    function
  • Support the activities of operations
    people plan
  • Smooth running of the people ministries
2. Administrative Duties:
  • Activity scheduling for the Head of
    Operations and Senior Management, this includes travel, accommodation,
    entertainment, reconciliations and workshops.
  • Calendar management for Head of
    Operations.
  • Coordination of all activities/functions
    planned by the Head of Operations.
  • Keenly tracking and following action items
    for Head of Ops with the relevant stakeholders.
  • Minute taking for all Conference calls and
    weekly follow up on the action items
  • Minute taking for all Head Of Operations
    and Senior Management Meeting as well as weekly follow up on the action
    items
  • Operations Petty Cash Management,
    reporting, and reconciliation
3. Performance:
  • Responsible for the maintenance and
    monitoring of Operations scorecards & KRIs.
  • Impact analysis and tracking of IT issues;
    Monitoring of IT issues log (Daily/Weekly/monthly as per reporting
    timetable)
4. People:
  • Technically support staff to ensure that
    there is a highly motivated work force/ Staff engagement  index
  • Tracking of Training & Development
    (Ensure that staff have attended at least two relevant ops training as per
    PDP)
  • Tracking, Reporting and Management of
    leave schedules for Operations.
  • Administrative support to all people and
    training programmes as well as people ministries support and communication
    bridge to Head Operations
5. Cost Management: Contribution
of best practice to practical solutions to reduce Operations and overall bank
costs
6. Control:
  • Ensures administrative procedure adequacy
    and adherence to all laid out Bank Process, Procedures and Policies.
7. Self-Development:
  • Identifies appropriate formal and
    occupational (informal) training needs and courses (internal/external) to
    develop oneself.
  • Up-Skills oneself regarding new products
    and procedures through attendance of workshops/presentations and reading
    of internal and external communications
Qualifications, Skills and Experience: 
  • The ideal candidate should hold an Honours
    Business Degree holder from a recognized University (min – 2nd class upper
    or equivalent) or similar qualification
  • At least two to three years’ banking
    experience
  • Strong business management and
    administrative support skills
  • Strong in business analysis and reporting
  • Good knowledge and understanding of
    project planning and management
  • Excellent problem solving skills
  • Able to resolve diverse problems in own
    area, using judgment and discretion.
  • Able to deal efficiently with work volumes
    while remaining focused on priority issues.
  • Resourceful, able to provide support and
    give suggestions on new ways of doing things.
  • Planning skills
  • Able to manage and prioritize tasks.
  • Required follow laid-down regulations,
    policies and procedures as well as operate within system parameters and
    internal controls at all times.
  • Sound recall of procedures and previous
    experiences is required.
  • Able to take the initiative within limits
    of authority.
