everyone. We work with impoverished women to make money through the production
of paper beads and other products and to use their income and additional
training to start businesses for life-long sustainability.
Key Duties and
1. Ensure Effective and Transparent Procurement Process:
  • Maintain
    excellent understanding of BeadforLife procurement policies and ensure
    that they are followed at all times to ensure transparency.
  • Actively
    participate in training staff and vendors in BeadforLife procurement
  • Develop
    bid analysis and complete exception letters when necessary.
  • Complete
    and update authorized vendor list annually.
  • Survey
    variety of vendors and products available on a continual basis.
2. Procurement of Supplies and Services:
  • Purchase
    goods and services for BeadforLife providing the best overall price while
    considering logistics, quality, payment terms, vendor relations, and all
    other relevant factors.
  • Develop
    and maintain positive relationships with vendors and service providers.
  • Schedule
    service providers such as plumbers, electricians, carpenters, mechanics,
    etc. and supervise their work at our office to ensure effective completion
    of tasks.
  • Keep
    up to date maintenance/servicing records for generators, vehicles, fire
    extinguishers and arrange for regular maintenance.
  • Prepare
    all relevant paperwork with necessary authorization in order to ensure
    timely payment of vendors and service providers.
3. Operations and Administrative Duties:
  • Enter
    data into excel such as fuel records from BeadforLife vehicles
  • Work
    closely with the Front Office Assistant to monitor use of stationary and
    cleaning supplies
  • Render
    support in asset management activities
  • Perform
    any other duties as assigned
Qualifications, Skills and
  • The
    ideal candidate should preferably hold a Degree in a relevant field from a
    recognised University
  • A
    minimum of two years of progressive professional experience in
    procurement, administration, operational coordination preferably in an NGO
  • Solid
    computer skills
  • Excellent
    organization, administrative, and record keeping skills
  • High
    degree of honesty and trustworthiness
  • Flexible
    and a good problem solver
  • Detail
  • High
    level of energy and ability to move around frequently to source supplies
  • Reliable
    and timely, good at meeting deadlines
  • The
    incumbent should have skills in building relationships and finding new
    vendors and supplies
  • Demonstrate
    sound work ethics
