USAID P&R Project:
of USAID’s Emerging Pandemic Threats (EPT 2) program. P&R has a dual mandate to help countries
design and implement National Preparedness and Response Plans for public health
events of unknown etiology and to establish and strengthen National One Health
Platforms. Our goal is to help address
the practical issues confronting national governments as they strive to cope
with the human, financial, and logistical constraints associated pandemic threats. The P&R project provides technical
assistance and training services to build national and regional capacity in a
sustainable manner.
Summary: The Travel and Logistics Coordinator
will be responsible for managing the travel and logistics functions for P&R
employees, partners, and visitors.
P&R is seeking an experienced professional with ability to
anticipate project needs, discern work priorities, and meet deadlines with
little supervision. The Travel &
Logistics Coordinator should be able to provide effective event management with
an attitude of customer service, and be able to build relationships with
internal and external customers.
Duties and Responsibilities:
- Manage logistics support for all P&R employees, partners, and
STTA. - Actively coordinates with project and partners staff for relevant
information and provides support as requested. - Book and confirm all air tickets, hotel reservations, visa
arrangements, and other travel arrangements for project staff and official
visitors. - Work with the traveler in requesting travel advances.
- Regularly review travel expenses reports for accuracy and
allowability. - Work with the car rental vendors to ensure timely and quality
service provision at all times, and audit and file daily vehicle logs.
- Assists with preparing budgets and provide periodic progress reports
as required for each event project. - Keeps track of event finances including check requests, invoicing,
and reporting. - Actively coordinates appointments and visits, and scheduling of
events on the calendar. - Prepares and modifies event contracts as requested.
- Support the team with scheduling appointments and meetings.
- Work with the team members in organizing workshops, trainings, etc.
and initiate and oversee the necessary procurements in accordance with
USAID rules and regulations. - Serve as liaison with partners/vendors on event-related matters.
- Coordinate preparation of meeting supplies and materials.
- Assist with managing on-site production for events as necessary.
- The incumbent may also assist with other procurement activities, as
needed.
Skills and Experience:
- All applicants who wish to join DAI’s USAID Project should hold a Bachelor’s
degree; significant work experience can substitute for the
degree. - Three or more years or related experience with office administrative
management. - At least one year experience coordinating
special/international/regional events. - Past exposure and experience in USAID-funded project or familiar
with USAID rules and regulations is preferable. - Possess the ability to manage multiple tasks and work well under
pressure, in a team, and with little supervision. - Excellent interpersonal skills both in person and by phone, with
high professionalism. - Organized and attentive to detail.
- Computer literacy i.e. Proficient using the latest versions of
Microsoft Word, Excel, PowerPoint, and mail merges; email and web
searches. - English language fluency required.
