Administration Manager
Fund was established in 2008 as not-for-profit grant making mechanism to civil
society organizations in Uganda. For over five years, IDF has established
partnerships with over 105 civil society organizations. The financial and
technical support is directed at strengthening their capacities to effectively
contribute to the country’s human rights, civil rights, good governance and
poverty reduction efforts. The
Independent Development Fund has been supported by different development partners
including; The Royal Danish Embassy/DANIDA, Embassy of the Kingdom of
Netherlands, Embassy of Sweden/Sida, Embassy of Ireland/Irish Aid, DFID and now
the Democratic Governance Facility (DGF) to ensure the following services are
available for the Fund
- Contributing
to the mobilisation of resources needed for the Fund. - Contributing
to the promotion and proper management of the grants system.
Finance Officer will be responsible for the routine accounting functions,
prepare and produce periodic financial reports including financial analysis for
the organisation.
- Manage
IDF accounts, including grantees’ and ensure that all financial
transactions are accurate and properly documented and posted on IDF
software system - In
charge of preparing accounting reports in a timely manner in compliance
with established procedures - Receive
and review financial accountabilities of grantees on a regular basis - Regularly
check accuracy of the grantees financial reports and that the grantees
financial performance is in adherence to IDF’s policy provisions of the
agreements - Generate
monthly reports on grantee accountability status - Update
and maintain records of financial documents - Prepare
payroll and arrange payment of salaries to staff - Update
and maintain the fixed assets register. - Actively
participate in mid-year and annual stock counts and spot checks - Participate
in the annual external audit - Expeditiously
follow up on all tax issues and other statutory obligations - Supports
Finance and Administration Manager in preparing quarterly and annual
reports. - Analyse
vehicles fuel consumption on a monthly basis - Contribute
actively in the development of mechanisms which ensure that operations of
IDF are implemented in a cost effective manner. - Prepare
monthly Accounts Report for IDF and bank reconciliation statements - Reconcile
and submit reconciliation statements of IDF grantees and update Management
on the status of individual grantees’ financial position on a regular
basis - Produce
budget vs actual expenditure report
- The
applicants should hold a Bachelors of Commerce or Bachelor of Business
Administration degree - Professional
qualifications i.e. at least partial completion of ACCA or CPA - A
minimum of three or more years’ hands-on all round experience working in
an accounting environment, preferably in an NGO operating nationwide. - Past
experience in financial monitoring of grantees would be an advantage. - Significant
experience in the use of Quick books and Sage/Pastel ’ accounting software
are essential
