About AWF:
The African Wildlife Foundation (AWF), founded in 1961 as the African
Wildlife Leadership Foundation, is an international conservation organization
that focuses on critically important landscapes in Africa. When founded in
1961, the purpose was to train Africans to maintain game reserves
professionally, ensuring an adequate supply of game for hunters on safari.
Later, the mandate evolved to supporting western scientists in studies of
protected animals in their natural habitat. More recently, the focus has been
on developing sustainable systems that benefit both animals and local human
communities.
About USAID Program:
The USAID/Uganda Biodiversity Program is designed to address threats to
Uganda’s biodiversity. The program uses conservation enterprises together with
conservation education tools to provide communities with j opportunities to
develop economic services that will enhance communities’ appreciation of
Uganda’s natural resources, thereby protecting ecosystems while promoting
broader, sustainable economic development.
Job Summary: The Finance and
Administration Assistant will provide administrative, logistical and financial
support to ensure efficient implementation of AWF’s conservation programs in
Uganda. This position will report to the Finance and Administration
Officer(PFAO) and will be based in Kampala, Uganda.
Key Duties and
Responsibilities: 
  • Support the Finance and Administration
    Officer (PFAO) in daily, real-time entry of UP accounting data in Serenic and
    maintain office petty cash and expense trail for timely monthly report
    generation to ensure monthly close deadlines are adhered
  • Support PFAO in liaison with Kampala
    driver in management of vehicle fleet and usage of vehicles as driven by
    programmatic need. 
  • Ensure proper and cost effective upkeep of
    vehicle through prequalified service providers.  Ensure compliance with vehicle log
    system. Accurately allocate maintenance costs and mileage charges by
    vehicle.
  • Ensure compliance  and adherence to USAID rules and
    regulations
  • Organize program logistics such as travel
    arrangements, workshops and seminars. 
  • Build and grow working relationships with
    local hotels and other facilities to ensure the best possible price and
    venues for AWF activities
  • Work in liaison with PFAO, support
    management and negotiation of program procurements, ensuring compliance with
    organizational policies and procedures. 
  • Maintain vendor records, ensure proper
    delivery of goods, and negotiate favorable terms and conditions for the
    program.
  • Ensure proper upkeep of Kampala office,
    equipment and other facilities.
  • Provide for required office services and
    supplies.
  • Follow-up on invoices for payment with
    vendors for timely month close UP payment
  • Intuitively review of staff travel advance
    reports
  • Provide back-up to Communications Officer
    on issues relating to information and contact for AWF general enquiries
    about its operations and process queries that are beyond the capability of
    the office assistant and assist in arranging meetings within office
    premises
  • Offer timely support in day-to-day front
    office management
  • Ensure guests and callers receive
    professional courteous, prompt assistance
  • Perform any other duties assigned by
    Supervisor. 
Qualifications, Skills and
Experience: 
  • The ideal candidate should hold a book keeping
    qualification, minimum CPA1
  • Office Administration (logistics and
    procurement)
  • A minimum of one to two years’ working
    experience in areas of accounting and office administration
  • Proficiency in the use of computers,
    especially Microsoft Excel and word and accounting data bases
  • Familiarization with government
    regulations (Income tax, VAT and duty requirements)
  • Prior experience in USAID programs an
    added advantage
  • Proactive nature of problem solving
  • Self-driven with high attention to detail
    and ability to meet strict deadlines.
  • Possess the ability to manage multiple
    tasks and prioritization
  • Excellent interpersonal skills
  • Excellent verbal and written communication
    skills,
  • Excellent organizational aptitude and
    coordinating ability
  • Ability to assess and react appropriately
    to changing circumstances
  • Ability to work as part of a team in a
    multicultural environment
  • Ability to take initiative and to work
    independently with minimal supervision
  • Willingness to travel, sometimes to remote
    areas
  • Must be flexible, culturally sensitive,
    and exude a “team” attitude.
  • Keen interest in conservation
