Job Summary: The Exams Officer will be responsible
for the day to day delivery of exams; keen sense of business development and
ensuring officer meets or exceeds customer, exams body and clients’ standards
and expectations. In general, the job holder will be expected to follow
predefined processes and procedures and work relatively independently under the
supervision of the Exams manager. The role is likely to provide support from
their own expertise to other exams officers with different responsibilities. It
may directly line manage one or more exams assistants and would certainly be
expected to manage the performance of the venue staff where required.

- Understand the importance of keeping exams materials
secure before, during and after the exam day and of the following systems
which protect self and the colleagues from unfair accusations of
malpractice. - Understand different exams bodies may have different
requirements. - Able to implement and assure these for a specific
area. - Understands the general principles of secure
unpacking, packing counting, logging and shredding of materials. - Able to do these and monitor/ assure performance of
assistants. - Able to use different stock management processes to
ensure secure materials and equipment can be tracked internally and
externally.
b. Business Development: The Exams Officer should have strong
demonstrable sales and marketing experience, relationship management skills and
have business acumen.

a. Managing individuals or teams:
- Post will require exams officer be able to set clear
goals for individuals and monitor performance against goals and job
standards using the Client performance management process, can produce a
job plan, include writing effective deliverables, can write comprehensive
performance evaluation for individual as per Client standards. - Ensure that work is allocated amongst team members
fairly and efficiently. Is able to motivate individuals/ the team,
particularly those whose roles include routine tasks by setting them small
projects as part of their performance deliverables or arranging for job
rotations. - Able to identify poor performance issues and address
with support and guidance from manager. - Recruiting and selecting venue staff including
examiners, markers, invigilators etc. Ensuring a sufficient number of
effectively trained staff is available for each test day administration.
Understands basic recruitment and selection procedures and able to apply
them to venue staff recruitment process with manager guidance. - Understand and be able to implement the particular
training and monitoring needs of venue staff as and when required.
b. Contribute to effective, compliant financial
processes and accurate financial information

- Prepare reconciliations for specific areas for
checking by the Exams Manager. - Understand basic ‘purchase to pay’ and ‘sales
process’ including vendor or business partner creation, raise goods
receipts, approve PO’s and sales orders on time and understand the wider
importance of this. Understand how to process invoices and credit notes. - Plan/forecast/monitor/manage simple budgets.
- Technically support the preparation of cash flow
forecast and accruals by providing relevant information for their
particular area of responsibility. - Preparing and/ or checking
examiner/marker/invigilator payment. Understands the principles of good
financial practice are this area.
c. Effective customer communication (including
candidates and exams boards)

- Handling enquires & complaints, including how to
say no effectively ie without upsetting the customer and when to escalate
complaints. - Handling difficult customers, collecting and acting
on customer feedback. - Handling stressed candidates and challenging them
effectively where necessary. - Understand the exams process and being able to
communicate clearly to customers
d. Exams delivery planning and management.
- Negotiating and booking of venues which meet agreed
standards and can demonstrate value for money criteria used in selection. - Understands that where exam bodies are paying venue
costs they need to be consulted on and agreed. - Understand the Client procurement policies and
guidelines.
