Administration Manager

Coordinator will have the primary responsibility of providing efficient and
effective support of the Procurement function at Kampala Country Office. S/he
will also work in close collaboration with Administration Manager and the
Procurement Committee to ensure that procurement policies and procedures are
correctly interpreted, understood and implemented by the staff.
- Assist
the Administration Manager, the Procurement Committee and the appointed
independent consulting engineer to draft and prepare bid documents, evaluation
and awards for construction, drilling, consultancies and trainings. - Responsible
for ensuring that on-going consultancy, drillings, construction and other
services are completed on schedule through a developed monitoring schedule
redress to her/his supervisor for timely follow-up such that works are
completed on schedule. - Develop
and regularly update and manage a data base of consultants, trainers that
show profiles and expertise of diverse consultants and trainers that Plan
can use from time to time. - Prepare
accurate requests for payments, retention schedules for contractors and
consultants based on evaluation report, audited/measured quantities.
Maintain updated files of completed procurements, those in progress
related to procurement function of construction, drilling, consultancies
and trainings - As
and when appointed as the Secretary to the Procurement Committee, support
the - Committee
processes as required of the secretary’s roles as defined in the manual.
- The
candidate should preferably hold a University Degree in social science/Arts,
Law or Business related discipline. - Professional
CIPS qualification is an added advantage. - Four
or more years working experience in a relevant field. - Past
exposure and experience in contract management especially construction and
consultancies with large organizations preferably NGOs. - Computer
literacy i.e. experience in the use of Microsoft office applications i.e.
excel, word, access and power point - Past
exposure and experience in drafting contracts in line relevant government
regulations is essential. - Prior
management and supervisory experience
