Maintenance Officer
research program that was established in 2002 as a result of a memorandum of
understanding between Makerere University and The Henry M. Jackson foundation
for Advancement of Military Medicine Inc. of USA (HJF). The primary purpose of
MUWRP is to develop, evaluate and provide interventions to mitigate disease
threats of public health importance to Uganda. Activities include; vaccine
developpment and building of vaccine testing capability in Uganda, conducting
of epidemiological and basic research and provision of HIV Treatment, care and
support and surveillance of influenza and other emerging infections.
Maintenance Officer is the primary custodian of all research related records at
the Makerere University Walter Reed and works closely with the research clinic,
data department and QA/QC personnel.
Responsibilities:
- In charge of establishing and maintaining
systems and strategies for chart storage and, movement and archiving of
research related documents - Responsible for maintaining chart movement
logs and for accounting for all charts in his custody at any one time. - Prepare new charts and have them handy for
use as new participants are screened or enrolled. - Initiates the research/CRF charts, and
routes the chart to the appropriate personnel. - Intuitively check for participant’s
identifying information on all documents - Pull charts daily for participants who are
scheduled and make sure that the study visit and visit date are well
documented on the progress note. - Inserts any lab results or other results
needed for review by the study Medical Officer as per procedures
established by MUWRP and in accordance with the approved protocol and
regulatory requirements or as instructed by the research staff. - Work closely with the Senior research
Nurse, prepare charts for participants scheduled for the following day and
makes sure that participant information has been verified for each
scheduled. - Work in liaison with the Research
administrator order forms and other necessary supplies when needed. - Make copies of various forms when
required. - Pull charts as needed for special audits,
monitoring, Quality control checks, and as requested by the research team - Transfer old and inactive charts to the
archive. - Perform any other duties as required.
Experience:
- The candidate should hold a good
Bachelor’s degree in Library and Information science, or related field
from a recognized University. - A minimum of two years’ experience in
handling medical/research records. - Familiarity with medical/research
chart/file management systems will be an added advantage. - The candidate must be a self-starter, with
excellent organizational skills. - Computer literacy skills i.e. Proficiency
with MS Office Word, Excel, Access, and PowerPoint), email, internet.
