About NITA-U:
National Information Technology Authority – Uganda (NITA-U) is under the general supervision of the Minister of Information and Communication Technology (MoICT). The supreme governing body of NITA-U is the Board of Directors. The NITA-U Board of Directors is appointed by the Minister of Information and Communication Technology and constituted as the governing body of the Authority. The Board is fully constituted.
Job Summary: The Executive Personal Assistant To Executive Director will offer versatile coordination and administrative support to the Executive Director.
Key Duties and Responsibilities:
- Support the preparation of Technical, Management and Board papers as applicable;
- Maintaining confidential manual and electronic filing systems;
- Providing office administration,
- Responsible for planning and coordination services to Executive Director;
- Identifying and summarising key issues that requires priority attention;
- Ensuring implementation of record management systems;
- Receiving and dispatching documents (both normal mails and electrical mails;
- Arrange and maintain records of meetings, workshops and conferences;
- Update the Executive Director’s official diary, arrange travels both within and outside the country and schedule appointments;
- Managing facilities, equipment and consumables in the Executive Director’s office;
- Responsible for all office correspondences including replies to letters/queries on behalf of the Executive Director;
- Attending to the relevant official visitors and directing them accordingly in liaison with the reception official.
Qualifications, Skills and Experience:
- The candidate should hold a bachelor’s degree in Business Studies, Business Computing, Information Technology, Computer Science and Information Systems from a recognized University.
- A post graduate qualification or internationally recognized professional qualification in the relevant field is of added advantage;
- A minimum of three years’ experience working as Executive Personal Assistant, Business analyst, Customer care officer or Administrative officer or similar position with a reputable public or private commercial donor funded organization.
- Computer literacy skills (Office based applications);
- Excellent organizing and coordination skills;
- Confidentiality, Diligence & Reliability;
- Hands on office administration and secretarial skills;
- Excellent typing skills;
- Good time managing skills;
- Excellent interpersonal skills;
- Excellent customer relations skills.
