Job Summary: The Office
Administrator will be mainly responsible for maintenance of an efficient office
support function, including but not limited to the book keeping, procurement,
mail, telephone and communication operations, transport services, travel
arrangements and hotel accommodation for business visits. The job holder is responsible
for the smooth and effective running of administrative requirements of all
office operations.
Key Duties and Responsibilities:
 
  • Cordially receive request and place orders
    for administrative supplies, stationery and other office requirements and
    ensuring effective cost controls are in place for this process.
  • Ensure that all services (i.e. telephone,
    water, power, office vehicles, photocopying machines, etc.) are available
    at all times and in good working condition.
  • Responsible for utilities and stationery
    management and control: Monitor consumption, stock and re-order levels;
    and distribution of resources.
  • In charge of records Management and
    control.
  • Follow up to ensure that goods and
    services ordered are received as specified
  • Management of company transport including
    maintenance of the company owned vehicles, maintenance of company
    furniture fitting and fixtures and equipment register.
  • Management and supervision of cleaners and
    ensure that all premises are kept clean to provide staff with a conducive working
    environment.
  • Support in the processing of payments to
    bank’s suppliers under the supervision of Head Finance.
  • Assist in the organization of and
    participate in Public Relations events and sponsorship.
  • Make hotel bookings for in-coming business
    visitors and manage the transfers to/from the airport cost effectively.
  • Ensure timely processing of invoices for
    payment for the country office, filing and record keeping of all country
    office documentation.
  • Maintain country office assets and the
    assets register.
  • Work closely with the Heads of Departments
    to ensure compliance and ensuring adequate cover at all times of the year
    as well as ensuring timely annual processes of renewal in liaison with
    concerned parties.
Qualifications, Skills and
Experience:  
  • The applicant should hold a Bachelor’s
    Degree in Office and Information Management, Human Resource, Business
    Administration, Procurement and Logistics and related field.
  • Past exposure and experience in Office
    Management and dealing with suppliers.
  • Possess the ability to make quality work
    plans for daily activities.
  • Technical skills to effectively perform
    administration activities / tasks in a manner that consistently achieves
    high quality standards.
