About WHO: 
The World Health Organisation (WHO) is the
directing and coordinating authority for health within the United Nations
system.  WHO is responsible for providing leadership on global health
matters, shaping the health research agenda, setting norms and standards,
articulating evidence-based policy options, providing technical support to
countries and monitoring and assessing health trends.
Key Duties and Responsibilities:  The Professional Secretary will be under the supervision of
the Operations Officer and Health Systems cluster Lead, and general guidance of
the WHO Representative, the successful candidate will perform the following
duties:
  • Prepares correspondence for
    the supervisor’s signature, ensuring that spelling, punctuation and format
    are correct, checks enclosures, Attachments and addresses.
  • Arranges appointments for the
    Life Course Team, receives visitors, places and screens telephone calls,
    and responds to routine requests for information.
  • Makes travel arrangements for
    the Life Course Team and other staff of Family and Reproductive
    Health  Area of work.
  • Intuitively monitors the
    cluster budget by maintaining summary sheets of expenditure by Awards.
  • Takes minutes of the cluster
    meeting as required.
  • Maintains filing system  for the cluster on various subjects.
  • The incumbent maintains and
    updates proficiency in the use of modern office technology through
    in-house courses, on-the-job training or self-training. 
  • He/she keeps abreast of  changes in procedures and practices,
    rules and regulations, organizational structure, in the department, the
    cluster and WHO, to be able to brief others and explain procedures.
  • Perform any other duties
    assigned by the WHO Representative.
Qualifications, Skills and
Experience: 
  • The ideal United Nations WHO
    applicant should possess a Diploma or University Degree in Secretarial
    Duties from a recognised Institution. 
  • A minimum of five years’ experience
    as a professional Secretary.  
  • Past experience with UN will
    be an added advantage.
  • Excellent communication skills
    i.e. ability to communicate in an incredible and effective way;
  • High results -orientation;
  • Knowing and managing yourself;
Languages
Proficiency:
Thorough knowledge of both
spoken and written English.  Working
knowledge of French and Swahili would be added advantage.
