Administration Assistant Job at Grameen Foundation

Key Duties and Responsibilities:
1.       Office
Support
:
  • Prepare requirements for meetings and book
    meeting rooms as required.
  • Maintain calendar of staff location from
    week to week.
  • Maintain office efficiency.
  • Coordinate agendas and logistics for
    visitors to GF Uganda office
  • Handle incoming calls to Grameen
    Foundation general line and direct as appropriate
  • Receive and direct visitors at reception
    as appropriate
  • Manage office supplies: Anticipate needed
    supplies, Check supplies to determine inventory levels, request for top-up
    of supplies.
  • Receive and sign for deliveries on behalf
    of staff.
  • Perform other related duties as required
    like editing, typing, mailing, and filing
2.     Records
Management:
  • Handle background checks of potential
    partners (OFACs) and file all partner contracts and MOUs
  • Maintain Internal and external contacts
    database
3.     Executive
Support:
  • Maintain calendar for Country Director
  • Manage expense accountabilities and funds
    requests for Country Director
  • Any other office related duties as required.  
Qualifications, Skills &
Experience:
  • The
    applicant should possess a university d
    egree in business
    administration, commerce or management.
  • Experience in office administration and
    handling multiple tasks concurrently.
  • Excellent written and verbal communication
    skills as well as good presentation skills, so that views are presented
    with clarity.
  • Good interpersonal skills are essential
    along with sensible attitude.
  • Ability to work within deadlines and
    should achieve the targets. The individual must know how to manage time
    and prioritize work under pressure.
  • Adaptable in a dynamic working environment
    and organizational culture, Flexibility and fast response time
  • Proactive.
  • Self-motivated and determined.
  • Good organizational skills, which are
    essential for managing every type of administrative job responsibility.
  • Excellent problem-solving skills
  • Planning and organizing skills
