About MUWRP:
The Makerere University Walter
Reed Project (MUWRP) is a non- government, nonprofit HIV research program that
was established in 2002 as a result of a memorandum of understanding between Makerere University
and The Henry M. Jackson foundation for Advancement of Military Medicine Inc.
of USA (HJF). The primary purpose of
MUWRP is to develop, evaluate and provide interventions to mitigate
disease threats of public health importance
to Uganda. Activities include; vaccine development and building of vaccine testing capability in
Uganda, conducting of epidemiological and
basic research, provision of HIV Treatment, care and support in 3 large
districts in Uganda and surveillance of
influenza and other emerging infections.

Job Summary: The Field
Administrative Assistant should be able to oversee and coordinate all field
administrative activities for current and future programs.

Key Duties & Responsibilities:
- Schedule
and manage the M/V pool to ensure that all field programs including the
Cohort, PEPFAR and any other program are well served. - Coordinate
workshops, training events and other office activities as directed by the
Field Administrator and the Director Finance and Administration. - Handle
petty cash and disbursements of all cash sent to the field. - Coordinate
field staff administrative issues for speedy responses - Work
hand in hand with the Field Administrator to supervise administrative
staff who include drivers, cleaners/sanitary officers and receptionists
effectively. - Coordinate
.with Hospital and or District officials to ensure smooth running of
the office activities - Make
travel arrangements as directed by the Field Administrator. - Oversee
Coordination of Logistical arrangements for planned office and community
mobilization activities. - Maintain
tracking system and prepare reports, forms, documents and other materials
to facilitate the flow of information. - Maintain
a proper records management through filing, retrieval, retention,
storage, compilation, updating and
destruction. - Receive
mail, packages etc and refer to designated locations - Attend
meetings and seminars to take notes and minutes or furnish information
and prepare minutes of meetings - Complete
various requests forms for office supplies and equipment as directed. - Any
other duties as directed by the superiors.
Qualifications, Skills & Experience:
- Degree
in Administration/office management studies or related field from a - recognized
University - At
least 2 years’ experience in a similar position. - Experience
in a hospital/clinical/research setting is an added advantage - Excellent
Oral and Written English and Luganda - Good
computer knowledge, including but not limited to Ms. Word, Ms. Excel,
E-mail and Internet. - Highly
organized, detail oriented and self-motivated. - Familiarity
with standard electronic office machines (phones, copier, fax etc) - Ability
to work in a rural setting
