Summary:
The Job holder
will provide administrative support for the office in order to ensure smooth
office operations.
Key
Duties & Responsibilities:
  • Drawing
    up induction plans for the new staff of Rupiny both permanent and
    freelance reporters in the department in order for them to understand the
    process in the bureau
  • Arrange
    and organize for new staff their work stations, computers ID’s to avail
    them the necessary work tools and ease communication
  • Supervise
    the office support staff (office attendant, office assistant, driver,
    outsourced gardeners/ cleaners) to ensure that all areas are managed as
    per defined standards.
  • Coordinate
    the payment of utility bills to ensure that they are paid on time
  • Ensure
    that all office facilities are well maintained and report any breakages/
    malfunctions to the proper authorities for fixing
  • Pay
    out imprest as approved by heads of section as per defined guidelines and
    provide accountability
  • Coding
    vouchers and inputting them into Navision
  • Receiving
    and banking company money as per defined schedules, input banking slips
    into Navision and send all receipts and slips to head office for proper
    accountability and record keeping.
  • Computing
    freelancers’ payments and entering them into Navision on time to enable
    processing of their payments.
  • Requisitioning
    of office supplies and manage the office store to ensure proper use of all
    consumables.
  • Liaise
    with the HR department on all staff welfare and benefit issues.
 Qualifications,
Skills & Experience:
  • A
    bachelor’s degree from a recognized University.
  • Ability
    to manage staff in a people focused manner.
  • Strong
    analytical and problem solving skills and the ability to successfully
    interact with staff and internal partners to problem solve to achieve
    goals.
  • Excellent
    communication, organizational, motivating and planning skills.
  • Ability
    to provide outstanding customer service.
