- Receive all the PRs coming from the bases or the departments
- Organize the delivery of the items by ensuring the Delivery Note is filled as required and update the Procurement Follow up and Stock Following and respecting ACF procurement procedures according to thresholds and standards.
- Dispatching of quotation requests and gather price quotations for items to be purchased as required. To ensure contracts are signed by the right suppliers for all purchases requiring a Negotiated Procedure.
- Prioritizing the procurement of all duly approved current and pending orders in a timely fashion.
- Ensure that items are processed in the best possible time with the most acceptable condition of payment
- Produce the report of all orders processed and pending on a monthly basis
- Cross-check Delivery note references, number for each item delivered versus the Supplier Purchase order content and report any abnormality.
- To maintain the procurement files with all documentation and reference numbers as required by ACF standards and donor files (Supplier Purchase orders, Regional /Headquarter Order, Price list and catalogue) and update the Contract Follow Up.
- To communicate with the logistic team in the bases and/or program teams to ensure a smooth procurement and delivery process
- Organize the payment of these suppliers
- Respect ACF stock management procedures (records, filling and identification): Ensure proper identification of all arrival/released material (quantity, quality, description, and delivery date and delivery condition).
- Respect ACF physical stock management requirements (organization, cleaning, ventilation)
- Ensure safe preparation and loading of cargo on to transportation vehicles.
- Conduct monthly inventory of stock and ensure that stock cards are created, up-to-date, and accurate.
- Compile monthly inventory/stock report for the Capital Logistician.
- University degree in Logistics/Procurement or related area
- One year relevant experience with an International NGO
- Good English writing and oral communication skills;
- Good knowledge of Word and Excel;
- Good team spirit and high sense of initiative;
- Patience, flexibility, adaptability, ingenuity, and creativity;
- Able to set own deadlines and meet them.
- Good communications, teamwork spirit, transport skill.
- Ability to communicate and perform within an international and multicultural team..
